Understanding our cancellation terms and refund procedures

Cancellation Overview

At Avril Tours and Lodges, we understand that travel plans can change unexpectedly. This cancellation policy outlines the terms and conditions for canceling your booking and the applicable refund structure.

All cancellations must be submitted in writing via email to sales@avriltours.com or marve@avriltours.com. Your cancellation will be effective from the date and time we receive your written notice.

Cancellation Charges

Cancellation fees are calculated based on the number of days before your scheduled travel date:

More than 60 days before travel

30% cancellation fee (deposit forfeited)

You will receive a 70% refund of your total booking value

30-60 days before travel

50% cancellation fee

You will receive a 50% refund of your total booking value

15-29 days before travel

75% cancellation fee

You will receive a 25% refund of your total booking value

Less than 15 days before travel

100% cancellation fee (no refund)

Full payment is forfeited with no refund available

No-Show Policy

If you fail to arrive for your scheduled booking without prior cancellation notice, this is considered a "no-show" and the following applies:

  • 100% of the booking value will be charged
  • No refund will be provided
  • The booking cannot be rescheduled or transferred
  • All services and accommodations will be forfeited

Important: If you know you cannot make your booking, please contact us as soon as possible. Even last-minute cancellations are better than no-shows, as we may be able to offer partial credit or alternative arrangements.

Refund Process

Once your cancellation is approved, refunds will be processed as follows:

  • Processing Time: Refunds are processed within 14 business days of cancellation approval
  • Refund Method: Refunds will be issued to the original payment method used for booking
  • Bank Processing: Please allow an additional 5-10 business days for the refund to appear in your account, depending on your bank
  • Currency: Refunds will be issued in the same currency as the original payment
  • Transaction Fees: Any bank or payment processing fees are non-refundable

You will receive an email confirmation once your refund has been processed, including the refund amount and expected timeline.

Force Majeure and Exceptional Circumstances

In cases of force majeure or exceptional circumstances beyond our control, special cancellation terms may apply:

  • Natural disasters (floods, earthquakes, severe weather)
  • Political unrest or civil disturbances
  • Government travel restrictions or advisories
  • Pandemic or health emergencies
  • Acts of terrorism or war

In such situations, we will work with you to provide one of the following options:

  • Rescheduling: Move your booking to alternative dates at no additional charge
  • Credit Voucher: Receive a credit voucher for the full value of your booking, valid for 24 months
  • Partial Refund: Receive a refund minus any non-recoverable costs already incurred

Travel Insurance: We strongly recommend purchasing comprehensive travel insurance that covers trip cancellation due to unforeseen circumstances. This provides additional protection beyond our standard cancellation policy.

Cancellations by Avril Tours or Suppliers

If we or our suppliers need to cancel your booking due to operational reasons, you will receive:

  • Full Refund: 100% refund of all payments made
  • Alternative Options: Comparable alternative arrangements if available
  • Immediate Notification: We will contact you as soon as possible

Please note that Avril Tours and Lodges is not liable for any additional expenses you may have incurred (such as flights or other bookings) if we need to cancel your tour due to circumstances beyond our control.

Partial Cancellations (Group Bookings)

For group bookings where only some participants wish to cancel:

  • Standard cancellation charges apply to each canceled participant
  • The remaining group size may affect pricing if minimum numbers are not met
  • Price adjustments will be communicated before finalizing the partial cancellation
  • Group discounts may be recalculated based on the new group size

We recommend contacting us before making partial cancellations to understand any potential impact on your group's pricing.

How to Cancel Your Booking

To cancel your booking, please follow these steps:

  1. Send a written cancellation request via email to sales@avriltours.com or marve@avriltours.com
  2. Include the following information:
    • Your booking reference number
    • Full name(s) of all travelers
    • Travel dates
    • Reason for cancellation (optional but helpful)
    • Preferred refund method
  3. Wait for confirmation: We will acknowledge your cancellation request within 24 hours
  4. Receive cancellation confirmation: You will receive a formal cancellation confirmation with refund details within 48 hours

Important: Cancellations are only valid when confirmed in writing by Avril Tours and Lodges. Phone cancellations must be followed up with written confirmation via email.
